Teams Calendar Notifications -- Daily/Weekly Digest Option?

For our organization, I've created a Teams Calendar which will allow all departments to enter upcoming events so all organization events are visible on the one calendar. Since there will be multiple people entering different events at different times, is it possible to create a daily or weekly digest of calendar additions/edits so people don't receive a separate email each time something is added or edited?

    Hi @IndyDunlap,

    Welcome to Microsoft Q&A forum.

Thank you for reaching out and sharing your question about Teams calendar notifications. I understand you’d like to avoid multiple email alerts for every event update and instead receive a daily or weekly summary of changes.

Currently, Microsoft Teams does not offer a built-in feature for digest notifications of calendar updates. By default, Teams sends individual notifications for each event addition or edit, which can become overwhelming when multiple people are making changes.

To achieve your goal, here are two practical workarounds you can try:

    1. Use Outlook group calendar with digest emails
    • If your Teams calendar is linked to a Microsoft 365 Group, you can manage events through the Outlook Group calendar. Outlook provides options to configure daily or weekly digest emails for group activity, including calendar updates.
    1. Create a Power Automate flow

Power Automate allows you to build a custom flow that:

    • Monitors changes in the Teams calendar (or its associated Outlook calendar).
    • Collects all updates for the day or week.
    • Sends a single summary email to selected recipients.

This approach is the most flexible and helps avoid multiple notifications.

I truly appreciate you sharing your feedback because it highlights a thoughtful and practical need that many organizations likely share. Suggestions like yours help us improve Microsoft Teams in meaningful ways.

Currently, Microsoft Teams does not offer a specific built-in feature to create a daily or weekly digest of calendar additions or edits directly within the Teams Calendar. However, there are some strategies you can employ to manage notifications effectively and keep your team informed without overwhelming them with individual emails for each event change.

    Strategies to Manage Notifications:

    1. Use Teams Notifications: You can set up notifications for critical events in your Teams apps. This can include:
      • Email Notifications: Send summary emails at designated times.
      • Teams Messages: Use Teams to send messages about important updates or changes.
      • Adaptive Cards: Implement adaptive cards to display updates in a visually appealing format within Teams.
      • Channel Posts: Post updates in specific channels to keep everyone informed without sending individual emails.
    2. Utilize Microsoft Graph API: If your organization has development resources, consider using the Microsoft Graph API to create a custom solution that aggregates calendar events and sends a summary digest to users at regular intervals. This would require some development work but could be tailored to your specific needs.
    3. Third-Party Integrations: Explore third-party tools that can integrate with Microsoft Teams and provide the functionality to create digest emails or summaries of calendar events. These tools might offer more flexibility and features tailored to your organization’s needs.
    4. Manual Summaries: As a temporary measure, you could designate a person or team to compile a weekly or daily summary of events and send it out manually. This could be done using a simple email or a Teams message.

While these methods do not provide a direct digest feature, they can help streamline communication and keep your team informed about calendar updates without excessive notifications.
