Microsoft 365 features that help users manage their subscriptions, account settings, and billing information.
Dear @Kennedy Omoruyi,
Thank you for posting your question in the Microsoft Q&A forum. We understand that you would like to pause your subscription while your business is in development and plan to return once things are up and running. We are here to help you manage this process smoothly.
To ensure you aren't charged further while keeping your data safe, here are the most effective ways to handle your request.
Option 1: Check if you are the administrator:
If you still have time left on your current billing cycle, the best approach is to turn off recurring billing. This allows you to use the services until the end of your current term without being charged again.
For more information, see Renew or cancel your Microsoft 365 for business subscription - Microsoft Support
- Sign in to the Microsoft 365 admin center with your admin credentials.
- If you’re using the Simplified view, select Billing.
- If you’re using the Dashboard view, go to the Billing > Your products page.
- Select the subscription you want to manage.
- Under the Billing settings section, select Edit recurring billing.
- Set it to Off and save your changes.
Note: If your license is purchased on a recurring basis (e.g., monthly or annually), canceling the recurring billing will not immediately stop the charges. You will continue to be charged until the end of the current billing period that you’ve already paid for. To assist you better, please provide the name of the license you wish to cancel (as shown in the example image above). I’ll help check the product’s expiration date and guide you through the next steps.
Option 2: Cancel your subscription
If you wish to terminate the subscription immediately:
- In the Microsoft 365 admin center, go to Billing > Your products.
- Find the subscription and select Cancel subscription.
- Choose a reason for canceling and follow the prompts to complete the process.
Important note on your data: After cancellation, Microsoft typically retains your data for 90 days. We recommend downloading any important files from OneDrive or Outlook before the subscription ends to ensure you don't lose access to vital business documents.
When your business becomes functional again, reactivating is simple. You can log back into your admin center, navigate to Your products, and select Reactivate on the expired subscription, or simply purchase a new license under the same account to restore your environment.
