Additional calendar-related features and issues within Microsoft Teams for business
Hi @Ryan Lloyd,
Welcome to the Microsoft Q&A forum.
Thank you for the detailed description and for everything you’ve already tried. I understand how disruptive it is when every Channel Calendar change generates email to the whole team, especially when you want to use the calendar to track leave quietly.
The Channel Calendar is linked to the Microsoft 365 Group behind your team. When you create or update an event in the channel, it is treated as a channel meeting, which by design sends notifications to all team members.
If “Send personal invites” is turned on when creating the event, Teams will email all members even if you do not add them in the “To” field. Also, some members may still receive emails because they are subscribed to group messages in Outlook. Even if admins disable group email copies, individuals may need to unsubscribe manually in Outlook or Outlook on the web.
To assist you further, please consider trying the following (no admin rights required):
1/ Track leave without emails using Microsoft Lists
- In the Team, add a Lists tab.
- Create columns (e.g., Name, Leave type, Start date, End date).
- Switch the view to Calendar so everyone can see leave on a shared calendar inside Teams with no inbox blasts.
2/ Use Shifts for time‑off requests and approvals (targeted notifications)
- Open Shifts in Teams, enable Time off, and share the schedule.
- Employees submit requests; managers approve in Teams. Only the relevant people receive notifications.
3/ Engage your IT administrator to proceed with the following actions:
- Review group subscription defaults so newly added members do not receive event copies in their inbox, and help existing members unsubscribe if needed.
- Consider alternative calendars (e.g., SharePoint calendars) or policies to reduce Channel Calendar posts and email traffic
Additionally. I strongly recommend submitting your suggestion through the Microsoft Teams · Community, where the Microsoft product team actively reviews user input. Many improvements have been made based on community suggestions, and your idea could help prioritize this feature for future updates.
You have clearly identified a real-world challenge, and your suggestion reflects a deep understanding of user needs. Feedback like yours plays an important role in shaping the future of Microsoft products. Once you submit your feedback, please feel free to share the link here. I would be happy to upvote it to help increase its visibility.
Please note: As community moderators, our access to internal development details is limited. Our primary role is to guide users toward the appropriate resources and support channels. While we cannot influence product design decisions, we will continue to do our best to support you within the scope of our responsibilities.
Additionally, as other users have raised similar concerns and may not be aware of where to share their feedback, I hope this response helps clarify the situation and suggests a potential next step. Highlighting this information can make it more visible to others in the community who may be facing the same issue, making it easier for them to find guidance and contribute their feedback as well.
Thank you again for being part of the Microsoft Q&A community. If you have any further questions or updates, feel free to reply here. I’ll be happy to assist further.
Wishing you and your family a joyful and prosperous New Year.
