I understand the confusion regarding invitation emails for external presenters in Microsoft Teams Town Hall, and I sincerely appreciate your patience. I’m happy to clarify how this works.
In a Teams Town Hall, external presenters and attendees receive different types of invitations by design:
External presenters
- When a person is added under “Add external presenters”, they receive a presenter‑specific email from Microsoft Teams that includes a unique presenter join link. This link allows them to bypass the lobby and access the green room.
- Please note that this email does not function like a standard Outlook meeting invitation external presenters cannot accept or decline the invite, and their response status is not tracked.
Attendees
- When a person is added under “Invite attendees”, they receive a standard attendee invitation email, similar to a normal calendar invite.
- If an external speaker was added correctly as an external presenter but did not receive a traditional calendar‑style invitation, this is expected behavior.
