To close a Microsoft 365 business account for a small company when it is no longer in use, a Global Administrator must perform several steps in order. If that role is not available or cannot be accessed, direct self-service closure is not possible and admin access is required first.
- Confirm Global Administrator access
- Only a Global Administrator can complete the closure steps for a Microsoft 365 business account.
- If the person trying to close the account is not a Global Administrator, another admin must either grant that role or perform the steps.
- Back up any data to keep
- Before starting, back up any important data (email, OneDrive, SharePoint, etc.), because closing the account will ultimately remove subscriptions, licenses, users, and user data.
- Delete all users except the Global Administrator
- Sign in to the Microsoft 365 admin center as Global Administrator.
- Go to Users > Active users and delete all user accounts except the Global Administrator that will be used to close the account.
- If users are synchronized from on-premises Active Directory, first turn off sync, then delete users in the cloud directory using the Azure portal or PowerShell as described in “Step 1: Delete users”.

- Cancel all active subscriptions
- In the Microsoft 365 admin center, go to the billing section and cancel all active subscriptions as described in “Step 2: Cancel all active subscriptions”.
- If the billing account type is Microsoft Customer Agreement (MCA) and the subscription is outside the immediate cancellation window, turn off recurring billing and wait for the subscription term to end.
- Disable multi-factor authentication (MFA) for other accounts
- In the Microsoft 365 admin center, go to Users > Active users > Multi-factor authentication.
- Disable MFA for all accounts except the Global Administrator currently being used, as described in “Step 4: Disable multi-factor authentication”.
- Delete the tenant in Microsoft Entra ID
- After users (except the final admin) and subscriptions are removed and prerequisites are met, delete the tenant in Microsoft Entra ID by following “Step 5: Delete the tenant in Microsoft Entra ID”.
- Deleting the tenant completes closure of the Microsoft business account; all related information (subscriptions, licenses, payment methods, users, and user data) is removed.
If the person responsible is “personally not able” to delete users or cancel the company (for example, no admin access, no credentials, or technical difficulty), assistance from someone with Global Administrator rights or from the organization’s internal IT support is required. Without Global Administrator access, Microsoft 365 business account closure cannot be completed through the documented self-service steps.
