Device not recognized in Microsoft Account after repair and factory reset

I sent my PC for repair shortly after purchasing it, and since then I’ve been experiencing issues with how the device appears in my Microsoft Account. Recently, I performed a factory reset to try to fix the situation, but the problem persists.

Although everything is reinstalled and I’m logged in with my Microsoft Account and Office 365 without any issues, this PC no longer appears in my list of devices online. When I try to register it manually, I receive a message saying the serial number is not recognized.

In Settings → Accounts → Linked devices, the PC still shows up with the name it had before the repair, not the current device name.

Hi, I'm Bernard, a fellow Windows user. I'm happy to help!

Since manual registration using the serial number didn't work, I recommend contacting Microsoft Accounts and Billing support by following the steps below:

    Go to this link: https://support.microsoft.com/home/contact

In the search bar, type in your issue, then hit enter.

Scroll down to the bottom and select the blue button "Contact Support"

The behavior matches a device whose hardware (especially motherboard) was replaced during repair, which can change the internal/system serial number and break the link with the original registration in the Microsoft account.

    Key points and actions:

    1. Why the device is not recognized
      • During repair, if the motherboard or certain components were replaced, the internal (system) serial number can change.
      • This new internal serial number is what Windows and online services use, so the repaired PC may no longer match the device originally registered in the Microsoft account.
      • In such cases, the original registration can become invalid, and attempts to register using the “old” serial number or mismatched data will fail with “serial number not recognized.”
    2. Which serial number to use
      • For registration and warranty/service, always use the serial number physically etched on the device or on its original packaging, not only what appears in Windows.
      • For Surface devices specifically, the serial number can also be found:
        • In Surface UEFI under PC information.
        • On the Device service and repair page after signing in.
      • If the motherboard was replaced, the internal serial number shown in Settings → About or in the Surface app may differ from the etched one, but the etched serial is still the reference for support and registration.
    3. Re‑registering the device
      • Go to https://account.microsoft.com/devices and sign in.
      • If the repaired PC does not appear, select Register device.
      • Enter the device’s etched serial number exactly as shown on the device or packaging.
      • If registration still reports “serial number not recognized,” contact Microsoft support from the same page so support can check the device record and repair history.
    4. Why the old name still appears under Linked devices
      • The “Linked devices” list in Settings → Accounts can show historical information based on how the device was previously registered and named.
      • After repair and hardware change, Windows may treat the repaired PC as a different device than the one originally linked, so the old entry (with the old name) can remain while the new hardware identity is not yet associated.
      • Renaming the PC locally does not automatically fix a broken registration if the underlying serial/identity changed.
    5. Managing devices in the Microsoft account
      • Windows 10/11 devices are normally added automatically when signing in with a Microsoft account.
      • Surface devices can also be added manually via Register device using the serial number.
      • If there are duplicate or obsolete entries (for example, the pre‑repair device), remove those from the devices list online, then sign in again on the repaired PC and allow some time for it to sync and reappear.

If the serial number continues to be rejected or the device never appears after following these steps, support intervention is required to correct the device record associated with the account and the repair.
