Delegate access to the Copilot Dashboard, Agent Dashboard, and Copilot insights

You can delegate access to the Microsoft Copilot Dashboard, Agent Dashboard, and Copilot Analytics reports to other people within your company.

By granting delegate access, someone else at your company, such as your chief of staff or one of your direct reports, would have the same access you have to the insights. They can view them and operationalize business decisions based on the data.

There are no changes to the metrics, aggregation, or filtering tools available to the delegate. However, the delegate doesn't have access to your personal insights or personal recommended actions, like sharing insights or sending praise to a recent collaborator.

To delegate access to the Copilot Dashboard, you must either have automatic access to the Copilot Dashboard based on Microsoft Entra ID data, were assigned the access by your Microsoft 365 Global Administrator, or you have access as a manager. To delegate access to the Agent Dashboard, you must have either have automatic access to the Agent Dashboard based on Microsoft Entra ID data or were assigned the access by your Microsoft 365 Global Administrator. Managers can not access the Agent Dashboard or assign delegates. Learn more about how access to the Agent Dashboard is determined.

Important

The Agent Dashboard is for public preview customers only. Features in preview might not be complete and could undergo changes before becoming available in the broader release. This preview feature allows personal data processing. See the "Previews" section of the Microsoft Products and Services Data Protection Addendum for more information.

Also, your delegates must have access to the Copilot Dashboard or Agent Dashboard to view them. If your administrator has limited the dashboard view to specific users or groups that your delegate is not a part of, they won't have access to the respective dashboard.

Here are a few other things to note:

  • You can delegate access to whomever you want and to as many people as you want (maximum limit of 75), as long as they're in the same tenant as you.

  • You can revoke access to whomever you want at any time.

  • A delegate can't delegate access to others.

  • If you assigned delegates and your access to a dashboard is removed, the delegates you assigned will also have their dashboard access removed.

Assign and remove delegates for the dashboards and Copilot Analytics reports

Use any one of the options below to assign or manage delegation access. Once updated, the access changes apply across the dashboards and Copilot Analytics reports.

Option 1: Within Settings

  1. In the Viva Insights web app, under Settings on the left, select Delegation.

  2. If you've already assigned delegates, you'll see them listed under My delegates, along with the start date of their access.

    • To revoke access for an existing delegate, select the Delete (trashcan) icon next to their name.

  3. To add delegates, at the top right, select Add delegates.

  4. Type in the name or names of the people you want to assign as delegates. You can also add a personal note, but it's not required.

  5. At the bottom right, select Confirm. Whenever you add a delegate, they're notified in email and Teams chat of their access status.

    Note

    If the user is in your delegates list, you won't see their name in the search list when you add delegates.

Option 2: Within the Copilot Dashboard and the Agent Dashboard

  1. On either the Copilot Dashboard or the Agent Dashboard page in the Viva Insights web app, under Share on the top right, select Add delegates.

  2. Type in the name or names of the people you want to assign as delegates. You can also add a personal note, but it's not required.

  3. At the bottom right, select Confirm. Whenever you add a delegate, they're notified in email and Teams chat of their access status.

Option 3: Within Reports page

  1. On the Reports page in the Viva Insights web app, select Add delegates.

  2. Enter the name or names of the people you want to assign as delegates. You can also add an optional personal note.

  3. At the bottom right, select Confirm. Whenever you add a delegate, they're notified in email and Teams chat of their access status.

Assign and edit scope of insights for delegates

If you're a senior leader who has company-level access to Copilot insights and you're a manager, you can assign one of two scope options for insights when you add delegates. You can choose between:

  • Your group – Insights about people who directly or indirectly report to you. This doesn't include insights about people outside your group.
  • Your company – Insights about all people in your company. This also includes insights about people who directly or indirectly report to you.

Note

You can only assign one scope to each delegate. For your delegates to view your Agent Dashboard, assign them the scope "Your company."

To edit a delegate's scope

  1. Go to Settings on the left-hand menu and select Delegation.

  2. In the delegate list, select the Edit icon next to the delegate.

  3. Choose the new scope you'd like to assign.

  4. Select Confirm at the bottom right to save your changes.

    Note

    To edit a delegate's scope, you can also remove their existing access, and then use Add delegates to assign new access. You can not edit a delegate's scope by searching for the delegate.

Delegate access view

  1. If you're given delegate access, you receive an automated message in email and Teams from the leader who gave you access.

  2. On the message, select View insights. You'll see the leader's view of the Copilot Dashboard or Agent Dashboard.

  3. On the top right, a banner tells you which leader's insights you're viewing. If you're given delegate access by multiple leaders, select the banner to switch between different dashboards.

Remove access to delegate Copilot Dashboard or Agent Dashboard

As an admin, you can set a policy to disable delegation for the Copilot Dashboard or Agent Dashboard for the tenant in the Microsoft 365 admin center or using Powershell cmdlets. You can set a policy for a tenant, user, or group. Users included in the policy can't delegate access to either dashboard until you remove or update the policy. Before you can use the cmdlet in PowerShell, you need to install a module and sign in to be authenticated. Learn more about how to set these policies.

  1. Connect to Exchange Online and when prompted, sign in with your admin credentials.

  2. After you’ve signed in, you can manage access for your tenant using the Add-VivaModuleFeaturePolicy cmdlet:Add-VivaModuleFeaturePolicy.

Example: Turn off delegation for Copilot Dashboard for all users in your tenant.

Note

After disabling the delegate feature for the dashboards, it might take up to 24 hours to reflect the change.

Admins can use audit logs to identify which users have access to Viva Insights through delegation. Learn more about how to search the audit log.

FAQs

Q1. I've delegated access to the Copilot Dashboard and Agent Dashboard for my colleague, but they can't access the dashboards. I can access them without any issues. Why?

While the Copilot Dashboard and Agent Dashboard are available by default to eligible users, admins can create custom policies in Viva Feature Access Management to limit or turn off access for specific users.

If a custom policy restricts dashboard access to a defined set of users, delegates must be explicitly included in that policy to access the dashboards. Work with your admin to confirm that all intended delegates are added to the allowed list.

If you're an admin and want to ensure that all existing delegates for leaders with company-level access can view the dashboards, review the delegate list in the audit log and add those users to the custom policy as needed.

If a custom policy is configured to exclude specific users from dashboard access, delegates will continue to have access as long as they're not part of the excluded group and are assigned the appropriate delegation scope. See Q2 for more information about delegation scope.

Q2: I have company-level access and I'm also a manager. When I delegate my group's access, my delegates can see the team view in the Copilot Dashboard, but they can't access the Agent Dashboard. Why?

Managers can't access a team-level view in the Agent Dashboard, nor can they delegate team-level access. To enable your existing delegates' access to the Agent Dashboard, go to Delegation settings and update their delegation scope from Your group to Your company (learn how to edit a delegate's scope). To grant Agent Dashboard access to someone who isn't currently your delegate, select Your company when you delegate access.

Q3. I'm trying to add someone as my delegate, but I can't find them in the search list. Why?

If the person is already your delegate, they won't appear in the search results. To review your existing delegates, go to Delegation settings, where you can edit their delegation scope or remove their access. Learn more.
